To maintain alignment with safeguarding rules Pitchero (the provider of the website and membership system we use at Alton RFC) has made a change to how they process club emails. This requires adults, who do not have children that are players, to make sure that their date of birth is completed in their club membership record.

Safeguarding requires the club NOT to send club emails to anyone on our database who is under 14 years of age.

The Pitchero email system therefore checks the following:
1. Is the person designated a parent on the database? If so, by default, they must be over 14 years old and an email can be sent. Therefore, parents do not have to have a date of birth on their record to receive emails. Phew, you don’t have to worry about this if you are a parent!
2. All other member records are checked for date of birth before an email is sent. Our junior players will have a date of birth and where this confirms they are under 14 no email will be sent.
3. To protect any juniors with missing dates of birth and meet safeguarding requirements any member record, other than for parents, that has no date of birth will NOT be sent an email. Thus, if you are an adult (not a parent) and you want to keep receiving club emails you have to make sure to have your date of birth on your membership record.
4. There are some exclusions on the type of email. Player availability, team selection and payment prompts will continue to be sent regardless of this as these are deemed emails members would expect to receive by being members of the club.

Regardless of this all members have full control of which emails you receive by using the email preferences link on your account overview page. Parents, where you child is over 14 and we have an email address for him/her you can use this to control the emails that are received by him/her.
